All about App Shortcuts

App Shortcuts allow you to access the same app instance across multiple Workspaces, for easy navigation to your most used app accounts. Rather than duplicate the same app across multiple Workspaces, use App Shortcuts to streamline your setup and notifications.😍

 

How to add a shortcut when adding a new app

If you're adding a brand new app to your setup, use the steps below to add App Shortcuts to other Workspaces:

 

  1. Click into a Workspace and select the "+" sign at the bottom of the Shift sidebar
  2. Click "Add Application"
  3. Search for the desired app and click on the app in the results.
  4. From the first dropdown menu, choose which Workspace you'd like the home app instance to live in
  5. From the second dropdown, check the boxes coinciding with the Workspaces you want to access this app instance from.
  6. Click "Save"

 

How to add an App Shortcut from an existing app

If you want to create a new App Shortcut using an app you already have added to your setup, follow these steps:

 

  1. Right-click on the app in your sidebar
  2. Select "Edit App"
  3. In the drop-down, check the boxes for Workspaces you want to add the shortcut to
  4. Click "Save"

 

How to have the same app appear in all Workspaces

I use some apps all the time throughout my day (let's use Slack as an example). I want easy access to Slack everywhere in Shift, regardless of what Workspace I'm in. The solution is to add an App Shortcut to every Workspace. To do that, follow these steps:

 

  1. Right-click on the app in your sidebar
  2. Select "Edit App"
  3. In the drop-down at the bottom, select the "All Workspaces" box

Now, you'll be able to Slack in all your Workspaces.

 

How to have an app appear in some Workspaces but not others

I don't view my personal Facebook account very often and would only like to see this app in either my "Personal", email-connected Workspace, or my "Social Media" standalone Workspace. The solution is to add my Facebook app to my "Personal" email-connected Workspace and then create an App Shortcut in my "Social Media" standalone Workspace:

 

  1. Navigate to my email-connected Workspace
  2. Select the "+" sign at the bottom of the Shift sidebar
  3. Click "Add Application"
  4. Search Facebook and click the Facebook app in the results
  5. From the first dropdown menu, choose the desired email-connected Workspace you'd like the home app instance to live in
  6. From the second dropdown menu, only check the "Social Media" Workspace.

Now, you'll only be able to access this instance of Facebook from these two specific Workspaces.

 

How to add an App Shortcut in a new Workspace

I just created a new Workspace. I have Asana already added to an existing Workspace, but I want to add it to the new Workspace I just created. The solution is to edit the existing Asana app instance and add an App Shortcut to my new Workspace:

 

  1. Right-click on the existing Asana app
  2. Select "Edit App"
  3. In the drop-down, check the box beside the newly added Workspace
  4. Hit "Save"

I've now added an app shortcut to another Workspace and can access Asana when I click into that Workspace.
